Many types of jobs and tasks involve numerical data, from hours to pricing to part numbers or project IDs. While these numbers need to be captured, it’s often not appropriate to share them with every single person involved in the job. Here’s how you can capture that necessary numerical data and limit visibility to certain users.
When visibility control is helpful
In most organizations, there are different teams or roles that have different information needs. For example, office staff who manage scheduling and invoicing need access to certain details that aren’t relevant to crew members on the field. Additionally, there are often external stakeholders involved in jobs or projects like clients, subcontractors, board members, and volunteers
- Cost of materials: Track the cost of materials and supplies for each job without showing it to customers when sending a status update or estimate.
- Price information: Capture the total invoice amount to be billed but make it visible only to office staff.
- Estimated hours: Note the estimated hours needed for completion of a job or task but keep that number hidden from crew members and customers.
How visibility control works
Teamup provides two visibility levels for event fields:
- If the visibility control is All users, the event field will be visible to everyone who views the calendar, at any access level.
- If the visibility control is set to Users with modify permission, the event field will only be visible to users with modify-level access.
When you give someone access to your Teamup calendar, you set their permission level. If you provide a user with read-only access, they won’t see any of the event fields shown only to users with modify permission.
Here’s an example of an event with two number fields and one text field visible only to users with modify access. On the left, for a modify user, those event fields are all visible. On the right, for a user who has read-only or add-only permission, those event fields are not shown.
With visibility control for number fields, you get the ability to capture and work with your numerical data right in Teamup while also keeping confidential information secure, available only to appropriate users.
