Our latest update expands the option to control visibility for event fields. Now you can set the visibility level for all event fields except the Title and Calendar fields.

About visibility control

The calendar administrator can configure visibility control for event fields. There are two visibility levels: All users or Users with modify permission.

  • If the visibility control is All users, the event field will be visible to everyone who views the calendar, at any access level.
  • If the visibility control is set to Users with modify permission, the event field will only be visible to users with modify-level access.

Visibility control provides powerful customization options for better workflows and protection of sensitive information. For example:

  • Make a formatted text field for internal notes visible only to office staff with modify permission, hidden from crew members with read-only permission.
  • Add a number field for invoice amounts and make it visible only to staff members, hidden from external contributors without modify permission.
  • Capture customer contact details (name, phone number, and address) in separate fields; make the name and address fields visible to all users so crew members can get mapped directions, while making the phone number visible only to office staff with modify permission.

Visibility for default event fields

Every Teamup calendar has certain default event fields. You can set the visibility for these built-in fields:

  • Who
  • Where
  • Description
  • Signup
  • Comments
  • Attachments

Visibility control is not available for the Title and Calendar fields. Note: With no-details access permission, the Title field will show only as Reserved.

Visibility for custom event fields

You also have the option to create custom event fields. There are different custom field types: text entry (single-line and formatted), choice, and numerical. Visibility control is available on all custom event fields. When you add a new custom field, scroll to the Visibility section at the bottom to choose the visibility level.

How to set visibility on event fields

To manage the visibility control on a default event field or custom field:

  1. Open Teamup in a browser.
  2. Go to Settings > Event Fields.
  3. Click the pencil icon beside a field to edit it.
  4. Sroll to the Visibility section, adjust as needed, and Save.
