Calendar Data
Historical data, import and export, past events, data storage
Import data
Teamup supports the import of events from other calendar applications, spreadsheets, databases, and text files. Data can be imported as iCalendar or CSV files.
To use the import feature, open Teamup in a browser and go to Settings > Import Events. The import feature is only available to calendar administrators.
Export data
Teamup provides a bulk export feature to easily export calendar data, including events, event signups, and/or event comments to a file.
To use the bulk export option (available only to calendar administrators), open Teamup in a browser and go to Settings > Export Events.
Historical data
Teamup automatically stores events in your calendar that are in the past (historical data). Your subscription plan determines how much of your historical data you can access. See the pricing page for details. You can upgrade at any time to instantly gain access to more of your historical data.
Past events disappeared
Teamup automatically stores past events (historical data). The subscription plan of the calendar determines how much historical data is accessible. For example, on the free Basic plan, historical data that is more than one year old becomes inaccessible on a rolling basis.
To keep a backup or archive of your calendar’s historical data, you can export your data on a regular basis. You can also upgrade (temporarily) to access more historical data for export.
Back up data
To keep a backup or archive of your calendar’s historical data, you can export your data on a regular basis. You can also periodically save your calendar to a PDF file via the Print & Export PDF function.

Share a Teamup calendar
To share your Teamup calendar with others, add them as account-based users:
- Open Teamup in a browser (with administrator access).
- Go to Settings > Sharing.
- Click Add User.
- Set the permissions as needed.
You can also create shareable calendar links to embed a calendar or share it publicly.
Share an event
Each event on a Teamup calendar can be shared via the Share menu. The Share menu works on a browser and on the Teamup app.
On a browser: Open an event, then click Share and choose the option you want. Or right-click on an event to open the context menu, then click Share.
On the Teamup app: Open an event, then tap ••• (top right). Tap Share and choose the option you want, OR tap Open page to generate a stand-alone event page.

Only the calendar administrator can add, remove, or manage users.
- Open Teamup in a browser.
- Go to Settings > Sharing.
- Click Add User.
- Enter the email address for the user.
- Set the access permissions for the user. See more details.
Let someone view my calendar
There are several ways to let someone view but not make changes to your Teamup calendar. The best approach depends on the scenario:
- To share with a large group/the public: Use a secure read-only link or embedded calendar.
- To share with a colleague: Add a user with read-only permission.
- To share a synced view of your events to someone’s calendar: Use an outbound iCalendar feed.
Create a calendar link
A shareable link allows you to quickly share your calendar without requiring registration or a login. To create a shareable link, you need to be a calendar administrator.
- Open Teamup in a browser.
- Go to Settings > Sharing > Create Link.
- Name the link and customize the permissions, then Save.
- Copy and share the link.
Since anyone can use a shareable link, be sure to set the appropriate permission (read-only is the recommended default). Don’t use links to share a calendar that contains confidential information.
Restore a lost calendar link
If you’ve lost/deleted your own calendar link, contact your calendar administrator and ask them to restore your access.
If you are the calendar administrator and have accidentally deleted a shareable calendar link, you can create a new link with the same permissions. If you cannot access the calendar settings, contact Teamup Support for assistance.
Security & Accessibility
Text.
About Teamup security
At Teamup, we take the security and privacy of your data very seriously.
Teamup is certified under the ISO/IEC 27001 standard and compliant with the General Data Protection Regulation (GDPR) of the European Union. See our Operations & Security documentation for a thorough explanation of our security measures.
Encryption of calendar data
All communication between calendar users and Teamup Calendar servers is always encrypted using the HTTP over SSL protocol. Calendar data stored on disk is encrypted (encryption of data at rest). See our Data Processing Agreement for a thorough explanation of how Teamup processes personal data.
Privacy policy
The security and privacy of your data are taken seriously at Teamup. We will never use your information or share your information for purposes that are not strictly related to operating the Teamup service. For more information, please review our Privacy Policy.
Keep data secure
We have implemented high standards to prevent the loss of data:
- Calendar data is continually replicated from the main database server to two independent, remote servers. In case of an outage of the main database server, one of the remote servers will take over.
- Calendar data is backed up periodically and supports point-in-time recovery.
Please see recommended practices for calendar administrators and users that will help maintain the security and privacy of your calendar and calendar data.
Teamup accessibility
Teamup is committed to ensuring digital accessibility for people with disabilities. We are continually improving the user experience for everyone and applying the relevant accessibility standards.
As part of this effort to ensure accessibility, the Teamup service undergoes regular independent audits regarding compliance with the Web Content Accessibility Guidelines (WCAG) and we publish an Accessibility Conformance Report (ACR) for transparency on our accessibility page.
Integration / Sync
Sync with other calendar, integration options, iCalendar feeds
Integrate Teamup with other tools
Teamup supports inbound and outbound iCalendar feeds and webhooks and provides a public API.
Teamup also provides many integration possibilities with other applications such as Slack, Trello, Microsoft Teams, Slack, Outlook, Google Calendar, and more. See more details.
You can also use our Zapier integration to connect with many more apps.
Sync Teamup with other calendars
You can set up a feed from Teamup to another calendar, or from another calendar to Teamup, via iCalendar feeds.
An iCalendar feed provides a one-way, read-only sync of calendar data. You cannot change the events viewed via iCalendar feed; to make changes, you must go to the originating calendar.
- Set up an inbound iCalendar feed: Sync events from another calendar into Teamup
- Set up an outbound iCalendar feed: Sync events from Teamup into another calendar
iCalendar feed stopped working
If an iCalendar feed stops syncing, here’s what to check:
- Use one of the freely available iCalendar feed validators such as https://icalendar.org/validator.html.
- If the feed URL is not valid, go back to the source calendar and obtain the feed URL again.
- If the feed URL is valid, proceed with the next steps.
- Try the feed in a different calendar. Use a Teamup live demo calendar or test it another calendar service (e.g. Apple or Google Calendar).
- Try a different browser. If it doesn’t work in your default browser, try the feed in your own calendar or a live demo calendar in a different browser.
- If none of these steps solves the problem, contact our support team.
iCal events are not refreshing
For iCalendar feeds, the refresh rate depends on the calendar receiving the feed.
For outbound iCalendar feeds: Teamup refreshes the feed source immediately after each calendar change. The update frequency a user experiences varies depending on the subscribing calendar program.
For inbound iCalendar feeds: The feed source is refreshed periodically by Teamup to keep the feed updated. You can set the refresh interval for each iCalendar feed. See options to force a refresh.

Events in the wrong time zone
If the events on your calendar are shown in the wrong time zone, change the time zone for the calendar. The event times will automatically shift to the displayed time zone.
If the events were created in the wrong time zone and their time/date is incorrect, you will have to manually correct the time/date of the events.
Share events to a different time zone
Teamup supports automatic time zone detection and event time conversion.
You can create the events in your own time zone. If automatic time zone detection is enabled, Teamup Calendar will try to detect the local time zone of the user’s location. Events will be automatically converted to the adjusted time for the displayed time zone.
Daylight Saving Time
Teamup automatically adjusts to daylight saving time on the appropriate dates.
This feature includes time zone conversion for events. Create a meeting in your own time zone, and the event time will automatically adjust when viewed in other time zones. This automatic adjustment includes all the daylight saving time shifts around the world.
Printing
Print calendar, print blank calendars, print data, print events, configure print-outs
Print a blank calendar
When you print Teamup, the printout will include the events that are visible on your screen. If you toggle all calendars off, you’ll have a blank calendar view. Then you can print using your browser’s print function or Teamup’s Print/PDF tool.
You can also use on of our live demos or printable templates print a blank calendar at any time in the style you want.

- Adjust the calendar view, toggle the sub-calendars, and set the date range so the events you want to print are showing. See details.
- Collapse the control panel.
- Click the blue hamburger menu in the top right, then select Print & Export PDF from the menu, OR
- Use Ctrl-P on PC or Cmd-P on Mac to print using your browser’s print function.
Adjust font size for printing
Go to your browser’s view menu and use the zoom in or out options until the font size is what you want. See the instructions for all browsers.
If event titles are not displaying fully, adjust the calendar resolution to create more space for each event so the title can be seen in full, then print.
Printing tips
The scale and layout of a calendar printout depends on the settings in your printer and/or browser. Adjust the settings in the print preview (paper orientation, scale, paper size) for a better printout.
Try different calendar views to see which ones look best for printing.
Collapse the control panel before printing to create more horizontal space.
Reduce the visible hours so that the daily and weekly views take up less vertical space.

Subscriptions are for calendars, not users
Teamup offers several subscription plans. A calendar subscription is always connected to a Teamup master calendar, not to a user account.
Teamup user accounts are free. Each user account is tied to one individual person. A user account gives you a calendar dashboard. You may have access to multiple master calendars on your dashboard but each master calendar is managed separately.
Removing a user does not delete their calendar data
Calendar data exists independently of calendar users.
Sub-calendars and calendar users are two separate things.
- As a calendar admin, you can create a sub-calendar for someone. This creates a scheduling space for that individual.
- You also need to add that individual as a calendar user. This is how you grant access to the sub-calendar you’ve created as their scheduling space.
So you might have a sub-calendar named Bob Smith, and a calendar user named Bob Smith. While they have the same name, they are two separate things:
- The Bob Smith sub-calendar contains the events (the data) for or related to Bob Smith; these events might be created by the user Bob Smith, or added by someone else (e.g. a supervisor or colleague).
- The Bob Smith calendar user can view and work with the events on that sub-calendar; he might also be able to view events on other sub-calendars, depending on how his access has been customized.
You can access multiple calendars through your user account dashboard
User accounts are always personal
Teamup user accounts are personal and always free. A user account is always tied to an individual.
Calendars can be organizational
A calendar, on the other hand, may be managed by an organization. Each calendar may have many independent users and even multiple administrators.
What this means for you:
- YOU, an individual person, can access multiple calendars through your personal user account.
- The calendars you access may be your own, or managed by the same or different organizations or groups. You can have different levels of access to these calendars.
One dashboard for all your calendars
For example, a user named Mary might have three calendars on her dashboard:
1. Her personal calendar, which she created. She has full admin access to this calendar.
2. Her departmental calendar, which her supervisor created. She is an account-based user for this calendar with Modify permission for most of the sub-calendars.
3. The company calendar, which has company-wide events and holidays. She has read-only access to this calendar through a calendar link.
Changing calendars does not mean changing accounts
So, even if you are accessing different calendars than you were previously, there is no need to change or migrate your user account. Your user account is tied to you, via your email address.
You can add or remove calendars from your dashboard as needed. Or, if you are removed from a calendar as an account-based user, that calendar will no longer appear on your dashboard.
Every Teamup master calendar is managed separately
Each Teamup master calendar is managed separately:
- The subscription applies to one master calendar. A calendar subscription for one master calendar will not apply to another, even if both are on your dashboard.
- Calendar access and sharing (via link or account users) must be set up separately for each master calendar.
- Any defaults or changes in the calendar settings apply to that master calendar only.
- You can have access to multiple master calendars through your Teamup user account.
You may have multiple master calendars synced on your calendar dashboard. Since each of these is managed separately, you can remove a calendar from your dashboard without changing your access to the other calendars on your dashboard.
You can also have different roles or access levels for different master calendars. For example, you might be a calendar administrator for one calendar and have read-only access to a calendar managed by someone else.
Master calendar vs sub-calendars
Sub-calendars are individual calendars that are contained within a Teamup master calendar.
Master calendar: When you create a calendar or launch a live demo calendar, you are creating a master calendar. A master calendar must contain at least one sub-calendar. The subscription of a master calendar determines how many sub-calendars it can have. The free plan allows up to 8 sub-calendars. ⚠️ If you delete a master calendar, you delete all the sub-calendars it contains and their data.
Sub-calendars: You can create and organize multiple sub-calendars in one master calendar. The sub-calendars are listed in the left sidebar of the master calendar. You can delete any one sub-calendar without affecting the other sub-calendars.
Calendar vs user account
A Teamup calendar is a calendar which can be used on a web browser, mobile browser, or with Teamup mobile apps. A Teamup calendar can be free or can be upgraded to a paid subscription plan. To create a new master calendar, you’re required to have a user account.
Teamup user accounts are personal and each account is associated with a unique email address. User accounts are free. Your user account gives you a calendar dashboard where you can access multiple master calendars (both those you have created and those shared with you).
User account vs shareable link
With Teamup, the primary way to share a calendar is through user accounts. Teamup user accounts provide secure, individualized calendar access through a synced calendar dashboard. You can access multiple Teamup calendars through your dashboard.
- Teamup user accounts are always free for individuals. To create one, register here.
- To log into your Teamup account (on a browser or on the Teamup app), you’ll provide your email address and password.
- The calendar administrator can add and manage users and configure their access.
A shareable calendar link is a way to share a calendar publicly or with a large group. When the calendar does not contain any security-sensitive information, shareable links provide an easy, convenient way to provide access without requiring a login.
- To open a shareable calendar link, type or paste it directly into your browser’s address bar; you can also open a shareable link on the Teamup app without logging in.
- You can add a shareable calendar link to your dashboard for easy access.
- The calendar administrator can create and manage shareable calendar links.
Calendar settings vs app settings vs account settings
Calendar settings are the “control center” for the calendar. They are only available on a browser to authorized calendar administrators.
- On a browser: Select Settings from the blue menu (top right).
App settings are for app-specific configuration, not for the calendar itself. They are available for all users.
- On the Teamup app: Tap the gear icon in the left sidebar.
Account settings are for account user information and preferences. They are only available in a browser to logged-in account users.
- On a browser: Click your user avatar (top right) to open the user menu.
Calendar menu vs user menu
When using Teamup on a browser, there are two menus available with different options.
The calendar menu: Click the blue hamburger menu (top right, next to the view picker).
- If you’re a calendar administrator, you’ll have access to the calendar settings through this menu.
- All calendar users can access the following menu items:
- Time zone
- Print & Export PDF
- Preferences
- Calendar Resolution

Share calendar vs share event
With Teamup, you can share your calendar securely by adding users or creating shareable links. You always have centralized control: For each user, group, or link, you choose which sub-calendars to share and assign the level of access permission.
Sharing an individual event from Teamup is different than sharing your calendar. Each event on a Teamup calendar can be shared via the Share menu. By default, the event sharing options allows you to:
- share event as a web pagewith a unique page URL.
- share add-to-calendar links for the event.
- post events to social media.
- email with pre-populated event details using your installed email client.
- save orexport the event details to another calendar.
The calendar administrator can configure which sharing options are available.
Change notifications vs event reminders
Teamup change notifications allow users to be notified when changes are made to events on the calendar. Change notifications can be sent via email or as push notifications. Only Teamup account users can manage change notifications.
Event reminders are alerts of upcoming events. They are sent at a specified time before an event starts. Event reminders are only available via email for Teamup account users.
