In many situations, you may want to give temporary or limited calendar access to someone:
- A contractor who is part of a certain project.
- A freelance worker providing services for your organization.
- A consultant hired for a specific period of time.
- A temp employee filling in for someone while they’re on leave.
Often, it’s an external stakeholder or collaborator who needs calendar access. You can provide secure calendar access for someone like this easily by adding them as a calendar user, just as you would a permanent employee or team member. When the collaborator’s time/project has ended, you can remove them as a user to revoke their access to the calendar.
Set up limited calendar access
- In a browser, go to Settings > Sharing > Add User.
- Enter the email address of the individual.
- Choose which sub-calendars to include and assign the appropriate permission level for each one.
- Have the individual follow the prompt in the invitation email to activate their account and access the calendar.
Revoke calendar access
When the access is no longer needed, go to Settings > Sharing. Find and remove the user. The individual will no longer be able to access the calendar.
You can also use a shareable calendar link to provide limited customized permission for collaborators. Typically account-based access is preferred, as it’s more secure. However, if security is not a concern, a calendar link is a convenient way to provide temporary access. You can delete the link when the access is no longer needed.
